Inventory Tracking for Storerooms That Keep an Attendant

Keep your attendant. Replace the clipboard with a system that tracks every SKU, expiration, and calibration cycle.

Some storerooms should keep a live attendant – high-touch issue desks, regulated rooms, customer-facing windows. The problem is never the attendant; it is the paper. SecuraTrack is a bench-mounted tracker the attendant runs: unlimited SKUs, offline-ready, expiration and calibration tracking built in. SecuraScan speeds the window; SecuraSmart turns every issue into data. When the room is ready for full automation, it upgrades to SecuraCrib without losing any history.

three challenges every attended storeroom faces

Paper at the window, no expiry or calibration tracking, and a slow queue

1. Paper sign-out at the attendant desk.

The attendant writes it down, or does not, and nobody enters it anywhere. There is no usable record of who took what, against which job, and the month-end count is the only time anyone finds out.

2. No expiration or calibration tracking.

Shelf-life items expire on the shelf and calibrated tools drift past due, because the only system is the attendant’s memory. Both are write-offs, and in regulated rooms both are findings.

3. A slow window at shift change.

Manual look-up and hand-written sign-out create a line at the desk exactly when production needs to move. The attendant becomes the bottleneck instead of the control point.

Track Storerooms

the securastock track stack

Built around the attendant, plus the speed, control, and tracking you add on top.

SecuraTrack – the attended tracking station.

A bench-mounted tracker the attendant runs: unlimited SKUs, offline-ready with battery backup, expiration and calibration tracking built in. This is for storerooms that genuinely keep a live attendant; it replaces the clipboard, not the person, and upgrades to a SecuraCrib unit later with no data loss.

SecuraStock vending – control of the critical items.

Not everything in the room needs the same control. Put the high-value and critical items – calibrated tools, controlled spares, anything you cannot afford to lose – in a SecuraStock vending unit inside the room. The room stays open for bulk stock; the critical items come out one at a time, badge-issued, tied to a person, with a hard limit.

SecuraScales + Smart Bins – speed and accuracy.

Add weight-based counting on the parts nobody wants to hand-count: fasteners, fittings, terminals, consumables. The scale counts as fast as someone sets a bin down and it does not miscount at 3 a.m. Cycle counts that took a shift drop to minutes, and the number is right.

Two ways to log who took what – both feed SecuraSmart.

SecuraScan handheld: faster at the point of pickup, and you do not have to manage an app on every worker's phone – best for high-traffic rooms and contractor crews. SecuraSmart mobile app: ties every transaction cleanly to a named individual, and it is the cheaper way in with no scanner hardware – best for smaller teams and tighter budgets. Most rooms run both: the app for regular staff, a shared scanner at the door for everyone else.

A storeroom moving from clipboard to SecuraTrack

Same attendant, real data, first nine months.

An operation kept a day attendant on a high-touch storeroom because the room genuinely needed one, but everything ran on a clipboard. There was no usable consumption record, shelf-life items were written off regularly, and shift change created a line at the window.

The rollout: a SecuraTrack station at the attendant desk for check-in and check-out against SecuraSmart, SecuraScan handhelds to speed the window, and SecuraStock vending for the highest-velocity consumables so the attendant handled exceptions and high-value items only.

Result after nine months: every issue now ties to a person and a work order. Shelf-life write-offs fell sharply with expiration alerts, the window queue at shift change effectively disappeared, and the operation had its first real consumption data, which it later used to justify a full SecuraCrib conversion.

Frequently asked questions

Six questions storeroom and materials leaders ask before scheduling a demo.

Do we have to get rid of our attendant?+

No. SecuraTrack is built for rooms that keep an attendant. It replaces the clipboard, not the person, and is the right fit when the room genuinely needs a human at the window.

How is a Track storeroom different from a Crib Unit?+

A Track storeroom keeps a live attendant and runs on a SecuraTrack tracking station. A SecuraCrib unit is the fully automated end: electromagnetic lock, control panel, and cameras, no attendant. Track is the common first step and upgrades to Crib later with no data re-entry; both share the same SecuraSmart data.

Can SecuraTrack be used inside a crib or storeroom?+

Yes – that is its primary use. Dropped into a manned crib or storeroom it becomes the check-in and check-out brain for the whole room without changing the door or the layout. The attendant scans items in and out against SecuraSmart; expirations and calibration cycles are tracked the same as on the plant floor.

Should the storeroom use a scanner or the mobile app to log who took what?+

Both work and both feed SecuraSmart; most rooms run both. The SecuraSmart mobile app ties every transaction cleanly to a named individual and is the cheaper way in, with no scanner hardware to buy – best for regular staff and tighter budgets. SecuraScan handhelds are faster at the point of pickup and mean you do not have to manage an app on every worker's phone – best for high-traffic rooms and contractor crews. A common setup is the app for regular staff and a shared scanner at the door for everyone else.

Can we add scales and vending to the room?+

Yes. SecuraScales weight-based bins add fast, accurate counting on small parts; a SecuraStock vending unit takes the critical and high-velocity items off the attendant's window so the attendant handles exceptions and high-value items, not every glove box.

How long does it take to stand up?+

A SecuraTrack station is hours to bench-mount and configure. Full rollout with scanners, scales, and vending staged in is typically 4 to 8 weeks.
